Whether you are planning a full-scale conference, or a shorter focused event, you are likely to wish to have more than one kind of input.
It is normally best for it to be timetabled into the overall conference, so that there is a definite time and place for delegates to visit the exhibition. For obvious reasons, it’s best that any poster exhibition is timetabled around the middle of the conference rather than near the beginning or end, since exhibitors are likely to arrive and leave at different times. Will the posters be ‘staffed’ at set times, or will it be a stand-alone exhibition? It usually works best when there is the opportunity for delegates to circulate around a poster exhibition and talk to those whose exhibits interest them.
